Configure conversation settings for the Viva Engage network

Engage offers an extensive set of conversation toggle switches to affect how users interact with others in conversations:

  • User-uploaded content files
  • Use entertaining animated GIFs
  • Video uploads autoplay in conversations
  • Personalized language translation of all messages in conversations
  • Abbreviated mentions of user names
  • Send and receive private messages
  • Recommended comments appear in the feed
  • Move conversations between communities
  • Report conversations to the admins
Conversation setting Description
File uploads





Restrict upload permissions if deemed necessary. By default, all uploads are allowed. Options include:
Allow all files: users can attach and upload files in any format;
Allow only images and videos. users can attach and upload images and videos. The file extension defines each file type.
Disable uploads. Users can't attach files, including images and videos. Disabling uploads doesn't affect existing uploaded files. For more information, see the following subsection.
GIFs



Off by default. Enable users' ability to add GIFs to messages in Viva Engage. GIF selection uses Tenor, a third-party service. GIF support is enabled by default. The GIF search in Viva Engage defaults to Tenor's "young audience" and "strict" filters to keep GIFs appropriate in a school or work setting.
If you see inappropriate GIFs in a search, send email to support@tenor.com with a link to the GIF.
URL metadata

On by default. Microsoft uses an external service to include titles, summaries, and images with URLs. It has an effect on how links appear. By default, when you create a message with a URL, Viva Engage fetches content associated with third-party websites, including title, summary, images, and GIFs. Existing URLs are cached and retained until the cache expires. You can turn off the display of this data for links.
Message translation



Off by default. Enable the setting to allow users to translate messages from any language supported by Microsoft Translator into the network's default language. The network admin must accept a Terms and Services agreement for Microsoft's proprietary translation technology.
Users have a Translate option to translate any message posted in a language that differs from the language set in their personal Engage Preferences.
Abbreviated mentions Users can refer to and address others by their first name. For example, mention "Carole Poland" as "Carole."
Private messages




Off by default. Control the appearance of private messages on the network with this toggle. When you turn off this feature, you remove all reference to private messages in the Engage Inbox, and on the Share menu for any conversation thread. Enable or disable the feature at any time.
EDiscovery maintains all private message content. Users can navigate to old messages through notifications and search, but they can't reply to old messages while the feature is off for the network.
Recommended comments On by default. Recommended comments allow the user's two most relevant comments to appear in their home feed conversation cards.
Move conversation

On by default. Governs use of this feature for all Engage roles. When turned off, only Engage admins, verified admins, network admins, corporate communicators, community admins, and community experts can move conversations.
Report conversations Off by default. Admins can enable network users to report conversations and comments that don't follow organizational guidelines or policies. For details, see Report a Viva Engage conversation.

Elements of file attachments

Engage users can attach files, including images and videos, to posts and replies. The community's SharePoint library stores all files in community posts or conversational replies. The author's OneDrive stores all files from storyline posts or replies. Learn more about file storage for communities and file storage in Storyline.

The File uploads setting only affects user actions for file uploads as part of their Viva Engage posting experience. It doesn't affect users' ability to upload files in the Viva Engage community's Files tab.

When Allow all files is enabled, users can attach an unlimited number of files, images or videos, up to 5 GB each, to a message or reply.

The file's extension determines each file type. When Allow all files or Allow only images and videos is selected, you can attach pdf files, image files, video files, Microsoft Office files, and more. Each post can have a maximum of 100 files.

When you restrict or disable file uploads, people can continue to share links in their posts. Viva Engage doesn't support blocking links.
