Managing sound and video settings during Teams meetings and calls for optimal communication

Based on your description where other participants are unable to hear you this behavior is commonly related to microphone selection, permissions, or device conflicts in Microsoft Teams.
Regarding your issue, may I kindly ask a few questions so I can understand your issue better:
- You mentioned that you cannot be heard by the customer. In this scenario, are you able to hear them clearly, or is the audio issue one‑way only?
- Does this audio issue only occur when the customer schedules the Microsoft Teams meeting? Could you please confirm whether the same issue happens when you schedule the Teams meeting yourself?
- You noted that you have checked all the settings and they appear to be correct. Could you please share screenshots of the relevant Teams audio settings, or describe in detail how the microphone and audio settings are currently configured?
- Do you experience this issue only when joining meetings with external customers, or does it also occur in meetings with internal participants?
- Are you an admin or end user?
- Are you currently using the Microsoft Teams desktop application or Teams on the web?
- Please let me know your device type and operating system (e.g. Windows, MacOS)
- Lastly, could you confirm whether your microphone works correctly in other applications?

Kindly note that the troubleshooting steps below mainly apply to Windows devices. If you are using a Mac, please let me know.
Step 1. Microsoft Teams: update to the latest version.
Step 2. Check live mic activity:
- Join a Teams meeting
- Click More (…) > Settings > Device settings
- Speak into the mic and check: Microphone level bar > Click Make a test call
- If the bar does NOT move, the issue is local capture, not the meeting
- If it moves but others still can’t hear you, continue below
Step 3. Check Windows microphone access
Even if Teams settings look correct, Windows may be blocking mic access.
- Windows Settings > Privacy & security > Microphone
- Please check:
- Let apps access your microphone = On
- Let desktop apps access your microphone = On
- Ensure Microsoft Teams is listed and enabled
Step 4. Check sound settings
- Go to your Windows settings to make sure your speaker is enabled and unmuted.
- From Windows Start, search and select Sound settings.
- Select System > Sound
- In Choose where to play sound, select your speaker. If you don’t see your speaker here, select Add device to pair it.
- Next to Volume, make sure your speaker is unmuted.
If you’re still having trouble, try re-enabling your speaker by going to Advanced > More sound settings. In the Recording tab, right-click your mic. Then select Enable.

Step 6. Sign out and log back in: This will refresh your account linking and may resolve the issue.
Step 7. Reinstall Teams
Try completely uninstalling and reinstalling it.
- Uninstall first: Uninstall Microsoft Teams
- Then reinstall: Download Microsoft Teams Desktop and Mobile Apps | Microsoft Team
