The local computer device name and the email address on the device do not need to match the Microsoft account email for OneDrive or Microsoft 365 to work.
What matters instead is:
- The account used to sign in to Windows vs. the account used for OneDrive
- Windows can be signed in with:
- A personal Microsoft account, or
- A work or school account, or
- A local (non-Microsoft) account.
- OneDrive can then be signed in with:
- A personal Microsoft account, and/or
- A work or school account (if the organization has a qualifying SharePoint/OneDrive subscription).
- These accounts can be different. The PC name and the email address do not have to match the Microsoft account email.
- Using the correct account type for OneDrive
- To add a personal OneDrive account, use the Microsoft account email (Outlook.com, Hotmail, Live.com, MSN, etc.).
- To add a OneDrive for work or school account, use the organization email address.
- Only one personal and one work/school account are supported at once in newer OneDrive apps.
- Common issues that are actually account/credential problems
- "Upload blocked" or permission issues can occur if signed into a Microsoft 365 app with an account that does not have permission to upload to that OneDrive.
- Duplicate files with the computer name appended (for example,
file-desktop-computer.xlsx) are usually caused by stale or cached OneDrive credentials, not by the device name or email mismatch.
- These are resolved by clearing cached OneDrive credentials (via Credential Manager on Windows or Keychain Access on Mac) and restarting OneDrive, or by reinstalling OneDrive if needed.
- Multiple accounts using the same email address
- If an email address is used for both a personal Microsoft account and a work/school account, Microsoft may prompt to choose which account to use.
- Personal and work/school accounts cannot be merged but can be used side by side.
In summary, the device name and email do not need to match the Microsoft account email. Focus instead on:
- Signing into OneDrive with the correct personal or work/school account.
- Ensuring the account used actually has OneDrive/SharePoint rights.
- Clearing or refreshing cached credentials if seeing sync, upload, or duplicate-file issues.
