To migrate your data from your Microsoft 365 Family subscription to your new Microsoft 365 Business subscription, follow these steps:

    1. Keep Your Data: You can keep your data in your personal account. The data in your personal account won’t expire once you create a new business email account and migrate your data.
    2. Move Files to OneDrive for Work: Sync both your OneDrive accounts (personal and business) to your device. You can then drag and drop files between the two OneDrive folders. For detailed steps, check out the article on migrating your OneDrive files.
    3. Set Up Outlook for Email: If you want to migrate your email, contacts, and calendar items, you can set up Outlook for your business email. You can export your emails, contacts, and calendar items from your Family subscription using a .pst file and then import them into your Business subscription.
    4. Manage Subscriptions: After migrating your data, you can cancel your Family subscription to avoid duplicate billing. Ensure that you have moved all necessary data before doing this.

    Hi @Jason Cooper CCG

Welcome to the Microsoft Q&A forum.

Thank you for reaching out and sharing your concern about managing both a Microsoft 365 Family subscription and a Business subscription. We completely understand your goal to simplify your setup and avoid duplicate accounts and billing.

Microsoft 365 Family and Microsoft 365 Business are separate subscription types linked to different account systems. Family subscriptions are associated with personal accounts, while Business subscriptions are associated with work or school accounts. Because of this difference, there is no direct way to merge or convert a Family subscription into a Business subscription.

Here are the best approaches to streamline your experience:

1/ Move your data from Family to Business

Since personal data (MSA) and business data (Entra ID) are stored in two separate environments, you need to transfer them manually or use migration tools:

    • Quick and Free Method: Sign in to both OneDrive accounts on your computer (white cloud icon = Personal, blue cloud icon = Business), then copy/paste folders and files from OneDrive Personal to OneDrive for Business in File Explorer.
    • Outlook (Email/Calendar/Contacts): Export a PST file from Outlook (personal account) and import it into your Business mailbox. This is the common process when moving from Home to Business.
    • Advanced Solution: Use third-party migration tools (e.g., BitTitan, MigrationWiz, MultCloud) if you have a large volume of data or need to preserve metadata and version history.

2/ Turn off renewal or cancel the Family subscription

Once your data is successfully transferred and Business is fully set up, you can officially cancel or let the Family subscription expire.

Note: After cancellation, your OneDrive/Outlook storage will revert to the free tier (OneDrive 5GB). If your data exceeds the limit, syncing/uploading new files will stop; after 6 months, data may be deleted if still over quota. Please back up before canceling.

3/ Continue using your Business subscription for all future work needs

For work needs, custom domain email, compliance, and user management, Microsoft 365 Business is the right choice. Do not attempt to merge your personal Microsoft account (MSA) with Entra ID because they cannot be combined.

I hope this information is helpful. Please follow these steps and let me know if it works for you. If not, feel free to share them in the comments on this post so I can continue to assist you.

I look forward to hearing your thoughts on this.
