Hi,

We encountered users that used to have copilot licenses assigned to them still able to access copilot chat in the office 365 suite. Users that don't have copilot licenses, don't see the copilot button on the 365 apps (word, excel, powerpoint). How do I go about removing the copilot button?

Thanks in advance.

To remove the Copilot button for users who no longer have a Copilot license, you can follow these steps:

    1. Check License Assignment: Ensure that the users in question have indeed had their Copilot licenses removed. Sometimes, license changes can take time to propagate.
    2. Manage Access through Admin Center: You can manage access to the Copilot app through the Integrated Apps portal in the Microsoft 365 admin center. If users still see the Copilot button, it might be due to cached settings or incomplete license removal.
    3. Unpin Copilot Chat: You can also unpin Copilot Chat in the Microsoft 365 apps. To do this, go to the Copilot Control System page in the Microsoft 365 admin center and select "Do not pin Copilot Chat in Microsoft 365 apps". This will unpin Copilot Chat in the apps and make it unavailable.
    4. Block Access: If necessary, you can block the Copilot app for users without licenses by selecting "Specific users/group in the organization can install" in the Integrated Apps settings. Create a user group that includes only those with a valid Copilot license.

By following these steps, you should be able to effectively remove the Copilot button for users who no longer have access to it.

    Hi Leong, Eddy,

Thank you for reaching out to the Microsoft Q&A Forum! I completely understand how confusing it can be when the Copilot button still appears in Word, Excel, or PowerPoint after licenses have been removed.

Here's how you can remove the Copilot button:

    1 - Admin-Level Control:

    • Go to Microsoft 365 Admin Center → Settings > Org Settings > Microsoft 365 Copilot.
    • Turn off Copilot for specific apps or users. This ensures the feature is disabled at the tenant level.
    • Alternatively, you can use Intune or Group Policy to create a configuration profile that disables Copilot features across Office apps.

    2 - User-Level Options:

    • In each Office app, go to File > Options > Copilot and clear the “Enable Copilot” checkbox.
    • Restart the app.
    • You can also hide the button by customizing the ribbon (Right-click ribbon → Uncheck Copilot).

Admin-level changes are the most reliable way to ensure Copilot is removed for all non-licensed users.
