HELP! All my outgoing emails are being marked as SPAM!!!

In the past month, several people have not been receiving my emails as they're all being marked as SPAM.

This is the message I keep receiving when I try to respond to emails--and they're bouncing back unsent:

REMOTE SERVER RETURNED '550 5.7.520 MESSAGE BLOCKED BECAUSE IT CONTAINS CONTENT IDENTIFIED AS SPAM. AS (4810)

Can someone please help me with this? This has been happening often within the last 6-8 weeks.

Thanks!

It sounds like your outgoing emails are being marked as spam due to various possible reasons. Here are some steps you can take to address this issue:

    1. Check Your Content: Make sure that the content of your emails does not contain phrases or elements commonly associated with spam. Avoid excessive use of links, images, or attachments that could trigger spam filters.
    2. Review Your Sending Practices: If you are sending a large number of emails in a short period, this could raise flags. Try to space out your emails and ensure that you are not exceeding sending limits.
    3. Sender Reputation: Your sending IP address might be on a blocklist. You can check your IP reputation using various online tools.
    4. Message Trace Tool: Use the message trace tool to track your emails and see why they are being marked as spam. This tool can provide insights into how your messages are processed and any issues that arise during delivery.
    5. Contact Support: If the problem persists, consider reaching out to your email service provider for assistance. They may be able to provide more specific guidance based on your account and sending history.
    6. Review Anti-Spam Policies: Familiarize yourself with the anti-spam policies that might be affecting your emails. For example, certain settings in anti-spam policies can mark messages as spam based on their content or sender authentication failures.

By following these steps, you should be able to identify and resolve the issue with your outgoing emails being marked as spam.

    Hi,

Thanks for reaching out and explaining the issue. Could you confirm if you’ve recently changed your email setup, added new links or attachments, or noticed anything unusual in your account, like emails you didn’t send? This will help us figure out if the problem is related to configuration, email content, or a possible security concern.

The error means Microsoft’s spam filters flagged your emails as suspicious. It often happens if your account reputation dropped, your messages contain spam like content, or your account was compromised.

Here’s what you can do right now: change your password and check your Sent Items and Inbox rules for anything unusual. Run a security scan in the Microsoft Security & Compliance Center and review any alerts. Remove anything that looks spammy from your emails, like too many links, shortened URLs, executable attachments, or marketing phrases. Try sending a plain-text email, if it works, the issue is likely with your content.

For the long term, make sure your domain settings (SPF, DKIM, DMARC) are correct, and if you’re on Microsoft 365, open a support ticket so they can help lift any restrictions.

Hope this helps! Let me know how it goes.

    Kind regards,

    Edward

Edward, can you please give me more specific instructions on how to do the following from your response above: "Run a security scan in the Microsoft Security & Compliance Center and review any alerts."

For example. do you have a link for the Security & Compliance Center?

    Thanks.

    Hi,

Thanks for getting back to me. Regarding Microsoft Security & Compliance, here’s what you can do:

First, sign in to the Microsoft Security & Compliance Center by going to https://security.microsoft.com and logging in with your Microsoft 365 admin credentials. Once you’re in, navigate to the section for your devices or endpoints and select the device you want to scan.

On the device page, open the menu and choose Run Antivirus Scan. You’ll be asked to pick a scan type either a quick scan, which checks common malware locations, or a full scan, which goes through all files on the device. You can add a comment if you like, then confirm to start the scan.

To check the status, go to Actions & Submissions > Action Center, switch to the History tab, and use the filters to look for antivirus scan actions. If the status shows as completed, the scan is done.

Finally, review any alerts by going to Incidents & Alerts > Alerts in the Security & Compliance Center. Click on any alert to see details, recommended actions, and steps for remediation.

I hope this helps you get everything sorted. If you need more guidance, feel free to reach out again.

    Regards,

    Edward
