Dear Microsoft Support Team,

I'd like to confirm: if I forward a calendar meeting from Outlook to an additional recipient, is it possible that the email/calendar invite could disappear from the recipient's inbox?

I’ve checked with the organizer, and he saw that I forwarded the invitation to another person. The original attendees on the invitation would not see that I forwarded it to someone else—is that correct? I also noticed that the original attendees are still listed as "Required" in the invite.

Please kindly advise and if you need more information, please feel free to let me know.

Regards,

    Dear kanda sriwisase,

Welcome to the Microsoft Q&A forum. Thank you for your detailed question. I understand your concern about the forwarded calendar invitation and the need for clarity on how this feature works in Outlook.

Let me address your specific questions first:

    • The original attendees of the meeting cannot see that you have forwarded the invitation to another person. Forwarding is a local action from your mailbox and does not update the meeting details for other attendees.
    • The original attendees will remain listed as "Required" on any forwarded copy because you are sending a snapshot of the original meeting, which does not modify the official attendee list managed by the organizer.

Regarding the invitation that may have disappeared from the recipient's inbox, this can often be related to how the recipient's email system processes calendar invites. To help us investigate this effectively, could you please provide the following information?

    1. Recipient's Email Provider: Is the additional recipient using an Outlook.com/Microsoft account, or a different email service (like Gmail, Yahoo, or a corporate account)?
    2. Specific Location: Did the recipient confirm they never received the forwarded email at all, or could they find it in their Junk Email or Deleted Items folder?
    3. Calendar Check: Most importantly, have they checked their Calendar to see if the meeting was added automatically, even if the invitation email is no longer in their inbox?

This information is crucial for us to narrow down the cause, as the troubleshooting steps can differ depending on the email environment.

Thank you for your cooperation. We look forward to your update and are here to assist you further.
