Connected email address results in rejected mails because sender identity doesn’t match the mail server.

Mails from my connected university address are rejected by some recipients because the server identity does not match the mail server (as far as I understand Outlook is "spoofing" and not sending via university servers > this causes discrepancies & rejections in DMARC).

Cannot change Outlook/Hotmail settings for several reasons:

  • VIEW ALL OUTLOOK SETTINGS not shown as an option > only basic options available
  • SETTINGS > MAIL > SYNC EMAIL also not shown
  • No option to switch to classic Outlook

What should I do?

Clear & easy suggestions are MUCH appreciated, since I'm not an IT-savvy person.

    The issue happens because Outlook sends your university emails through Microsoft’s servers instead of your university’s SMTP server, which causes DMARC failures and rejections. The easiest ways to fix this are, Set up your university account in the Outlook desktop app using IMAP and your university’s SMTP server so emails go through the correct server, If that’s too technical, use your university’s official webmail for important messages, Ask your university IT team to update SPF/DKIM/DMARC records to allow Microsoft servers, Try switching to the Outlook desktop app or another browser to access full settings, and if possible, request “Send As” permissions from IT for proper alignment.
