Hello,

I am using the new Outlook Newsletter feature. When I logged in to send the newsletter today, the "Send" option is greyed out. I have tried both the desktop and the web version, as well as the "classic Outlook" (although it is not available in Classic. Previously, I have sent copies of this newsletter without issue, but it will not work for any recipient.

I've included a screenshot below. Please note, I have previously had all fields filled, but am removing those for privacy.

    Hi @Bruns, Laurie,

    Welcome to Microsoft Q&A forum.

Thank you for reaching out regarding the issue with the Send option being greyed out in Outlook Newsletters. The “Send” button being greyed out usually means Outlook is waiting for required fields or permissions to be confirmed.

To help me understand what's going on and guide you to a solution, could you provide a few details:

    • Are you sending from a Microsoft 365 Group or a shared mailbox?
    • Is the newsletter draft fully populated (subject, recipients, body)?
    • Has anything changed in your account permissions or license recently?
    • Does the issue occur for all newsletters or just this one?
    • Are you using Sensitivity Labels or approval workflows?

While waiting for your answer, here are the steps you can try:

    1/ Verify required fields:

    • Ensure Subject, Recipients, and Body are filled.
    • If any field is empty, the Send button will remain disabled.

    2/ Check Permissions

If you are sending from a group or shared mailbox, have you IT admin check if you have Send As or Send on Behalf rights for the Microsoft 365 Group or shared mailbox.

    3/ Remove Sensitivity Labels

    • If the newsletter has a sensitivity label applied, remove it temporarily:

    Click Sensitivity → None.

Save and check if Send becomes active.

    4/ Recreate the Newsletter:

Copy the content into a new newsletter draft.

Sometimes drafts get corrupted and prevent sending.

Note: Please understand that our initial response does not always resolve the issue immediately. However, with your help and more detailed information, we can work together to find a solution.

I hope this information is helpful. Please follow these steps and let me know if it works for you. If not, we can work together to resolve this.

Thank you for your patience and your understanding. If you have any questions, please feel free to reach out.

I'm looking forward to your reply.
