Viva Learn - organisational tracking of learning

Hi,

We have recently got more access to Viva Learn, we did not push this out or request it. We track learning hours to ensure we know where time is spent, but to also ensure people are given the time to learn.

Is there an internal way to get reporting on what people learnt to assign the learning hours? We normally run everything through our existing LMS.

    Dear Apryl Anderson
Welcome, and thank you for sharing your issue in the Q&A forum.

Based on the information you provided, I understand that your organization is looking to track learning hours while using Viva Learning alongside your existing Learning Management System (LMS). I’d like to share some guidance to help you implement this effectively:

Viva Learning can display courses and assignments from your current LMS. More importantly, if your LMS supports it, there will be a Learner Record Sync feature, which allows completion status and learning duration to be synced back from Viva Learning to your LMS.

    • Employees access LMS content through Viva Learning.
    • Upon course completion, the LMS records the completion status and learning duration, just as it currently does.
    • You can continue using your LMS’s reporting features to extract learning hours data.

    -Check Integration Compatibility:

    • Confirm whether your LMS supports official integration with Viva Learning.
    • Check if the Learner Record Sync feature is available.

    -Configure the Connection:

    • Access the Viva Learning Admin Center.
    • Set up the LMS connection and enable learner record synchronization (if supported).

Tracking exact learning hours for non-LMS content (e.g., Microsoft Learn content) will be more challenging because Viva Learning does not always record the actual time spent in detail for all content types.

    • Export activity reports from the Viva Learning Admin Center or Viva Insights.
    • Estimate learning time based on views or user activity.
    • Alternatively, record only the completion status instead of exact hours.

To ensure accurate tracking of learning hours:

    • Prioritize using content that is integrated with your LMS.
    • For external content, consider setting internal policies (e.g., “1 completion = 1 standard learning hour”) to standardize reporting.

The ability to accurately synchronize learning hours from Viva Learning back to your reporting system depends 100% on whether your company's current LMS supports deep integration (Learner Record Sync) with Viva Learning.

To enable us to provide the most detailed and accurate guidance, please provide the name of the LMS currently being used (e.g., Provider Name and Version).

For further in-depth information on the data flow, please check the following link. This documentation will provide details on:

    • The dataflow diagram for bringing the content catalog and learner records into Viva Learning.
    • Confirmation that the LMS is the ultimate source of truth for content and learner records.
    • A list of the data fields extracted for Completion Records.

I hope this information is helpful. Please share your LMS name so we can support you with the next steps.
