Good day to you! Welcome to Microsoft Q&A.
Thank you for reaching out to us and if you're using Microsoft Teams in a browser and want to change the default fonts in Word or Excel documents, it's important to know that these files open in Office Online, which has limited font customization options compared to the desktop applications.
Word (Office Online via Teams) Office Online does not allow setting a global default font. However, you can use the following workarounds:
- Update the Normal style in a document
- Open a new Word document in Teams.
- Type a sample line and change its font and size.
- Go to the Styles section, right-click on the “Normal” style, and choose “Update Normal to Match Selection.”
- Save this file as a template (for example, “DefaultFontTemplate.docx”) and reuse it for future documents by opening or copying it.
- Pin your preferred fonts
- In Word Online, open the font dropdown menu.
- Hover over your preferred font and click the pin icon to add it to your pinned fonts list.
- This makes it easier to select your font quickly, although it does not apply automatically to new documents.
- Use the desktop app
- If available, open the document in the Word desktop application.
- Set your default font by going to Home > Font settings > Set As Default.
- You can also change Teams’ file open preference to always use the desktop app for Word documents.
Excel (Office Online via Teams) Excel Online also does not support global default font changes. Here are your options:
- Manually format each new workbook
- Select all cells (press Ctrl+A twice).
- Choose your preferred font from the toolbar.
- Create a template workbook
- Format a blank workbook with your desired font.
- Save it as “TemplateWorkbook.xlsx” and reuse it for new spreadsheets by opening or copying the file.
- Use Excel desktop for full control
- Set your default font in File > Options > General.
- All new workbooks created in the desktop app will use that font automatically.
Organization-Wide Font Standards
Currently, Office Online does not support tenant-wide font enforcement. However, organizations can take the following steps:
- Upload custom templates to SharePoint or Teams libraries.
- Embed corporate fonts in template documents.
- Educate users to start from provided templates to maintain consistency.
Until Microsoft adds native support for default font settings in Office Online, using templates and desktop applications remains the most effective solution. Let me know if you’d like help creating or distributing templates for your team.
